Privacy Policy

Last updated: July 17, 2026

1. Scope

This Privacy Policy explains how ProBizSystems handles personal information when you visit probizsystems.com, contact us, or begin a discussion about our services.

Client engagements may involve additional data-processing terms in a proposal, Service Agreement, Statement of Work, or data-processing agreement. Those engagement-specific terms control where they differ from this website policy.

2. Information We Collect

2.1 Information You Choose to Provide

We receive information you send through email or through the website's on-demand communication and scheduling widget. Depending on how you contact us, this may include:

  • Your name and contact details
  • Your organization and role
  • Scheduling information
  • The business problem or project context you choose to describe
  • The contents of a text, voice, or video conversation you initiate

Email sent to info@probizsystems.com is handled through Google Workspace. The on-demand communication and scheduling widget is provided by Consolto.

The public website does not currently provide user accounts, online checkout, a newsletter subscription form, surveys, or advertising sign-up forms.

2.2 Basic Request and Hosting Data

Like most websites, the hosting and delivery infrastructure may process technical request data needed to serve and protect the site. This can include an IP address, request time, requested path, referrer, browser or device information, and security or error events.

ProBizSystems does not currently run its own website analytics or advertising tracker. The on-demand communication widget is provided by a third party and may process device, usage, and communication data when you choose to load or use it.

2.3 Client Engagement Data

If you engage ProBizSystems, we may process business data required for the agreed work. The data, purpose, access, retention, model route, and service-provider responsibilities should be defined in the applicable agreement rather than assumed from this website.

3. How We Use Information

We use information for purposes such as:

  • Responding to inquiries and scheduling conversations
  • Assessing and scoping requested work
  • Delivering and supporting an agreed engagement
  • Securing, operating, and troubleshooting the website and communication channels
  • Maintaining business, accounting, and legal records
  • Meeting applicable legal obligations

We do not sell personal information or use website inquiry data for third-party advertising.

4. Cookies, Consent Controls, and Third-Party Communication Tools

ProBizSystems does not currently run its own website analytics or advertising tracker. The site uses Iubenda Privacy Controls and Cookie Solution to present regional privacy choices, record consent preferences, and make those preferences available for later review. Iubenda may use cookies or similar storage that is necessary to remember those choices.

The site may also remember a preference you select, such as whether the optional ambient homepage video should play. These preference records are not used for advertising or cross-site tracking.

The communication and scheduling widget is loaded on demand when you select a contact option. Its provider may use cookies, local storage, analytics, or other technologies needed to deliver chat, scheduling, voice, or video functionality. If you prefer not to load that provider, you can contact us directly at info@probizsystems.com.

You can review or change supported consent preferences through the Privacy Choices link in the website footer. The detailed Cookie Policy identifies the technologies covered by the consent controls. Your browser settings may also let you remove or block stored data. Blocking third-party storage may limit the communication widget without affecting the main website content.

5. Sharing and Service Providers

We may share information only where reasonably necessary:

  • With hosting, email, scheduling, communication, and security providers that support the website or the interaction you request
  • With providers required for a client engagement, under the applicable agreement and data boundary
  • With professional advisers where confidentiality duties apply
  • When required by law or legal process
  • In connection with a business transaction, subject to appropriate safeguards
  • With your direction or consent

Provider location, subprocessors, and data routes can vary by service. Sensitive client work should define those choices explicitly during scoping.

6. Security

We use safeguards appropriate to the information and service involved, such as encrypted transport, access control, data minimization, secure credential handling, and review of relevant service-provider controls.

No website, provider, or transmission method can guarantee absolute security. If you believe information sent to ProBizSystems may have been exposed or misused, contact us promptly.

7. Retention

We keep inquiry and business records only as long as reasonably needed for the purpose collected, follow-up, security, accounting, dispute handling, or applicable legal obligations. Client-engagement retention and return or deletion responsibilities should be defined in the applicable agreement.

8. Your Choices and Rights

Depending on where you live and the circumstances, you may have rights to request access, correction, deletion, restriction, objection, portability, or withdrawal of consent.

To make a request, email info@probizsystems.com. We may need to verify your identity and determine whether an exception or retention obligation applies.

California and EEA residents may have additional rights under applicable privacy law. ProBizSystems does not sell personal information or share it for cross-context behavioral advertising.

9. International Processing

Website hosting, email, and the communication provider may process information in more than one jurisdiction. When a client engagement requires a specific residency or control boundary, that requirement must be agreed and designed into the engagement. The public website alone does not create a data-residency commitment.

10. Third-Party Links

The website links to third-party sites and services. Their privacy practices are controlled by their own policies. Review those policies before providing information.

11. Children's Privacy

The website and services are intended for business users, not children. We do not knowingly collect personal information from children through the website. Contact us if you believe a child has provided personal information so we can review and, where appropriate, delete it.

12. Changes to This Policy

We may update this policy when the website, providers, services, or legal requirements change. The date at the top identifies the current version.

This Privacy Policy should be read together with our Cookie Policy and, where applicable, our Notice at Collection. Those documents provide additional information about website technologies, the categories of personal information collected, the purposes for collection, and applicable privacy rights. You can review or change supported consent preferences at any time through the Privacy Choices link in the website footer.
